Our plain-English commitment: We built DealClose.coto help you close more deals, not to make money off your data. We collect the minimum information we need to run the service, we don't sell it to anyone, and we'll always tell you exactly what we do with it. This policy explains that in full detail.

This Privacy Policy explains how [Your Legal Entity Name] ("we," "us," "our") collects, uses, and protects personal information when you use DealClose.co ("the Service"). It applies to:

• Registered users of the Service (you)
• Prospects whose contact information you add to generate quotes for them

If you're a prospect who received a quote via DealClose.coand want to know how your information was handled, Section 7 covers you specifically.

Information you give us directly:

• Account information: Your name, email address, and password when you sign up.
• Profile information: Your company name, company email, website, phone number, and logo if you add them in brand settings.
• Payment information: When you subscribe, Stripe collects your payment card details. We receive only non-sensitive payment data from Stripe (last 4 digits, card type, expiry) - we never see or store your full card number.
• Quote inputs: The information you type into the quote generator: prospect name, prospect email, prospect company, your product description, pricing, tone preferences, and any notes.
• Integration credentials: If you connect HubSpot or other CRMs, we store OAuth access tokens for those connections.

Information collected automatically:

• Usage data: Which pages you visit, which features you use, and when. For example, we know that you generated a quote or changed your brand settings.
• Quote engagement data: When a prospect opens a quote via a public link, we record the view (timestamp, approximate IP-based location, time spent on each section).
• Device and browser data: Basic technical information like your browser type, operating system, and IP address.
• Cookies and similar technologies: We use cookies to keep you logged in and to understand how the product is being used. See Section 9 for details.

We use your information only for these purposes:

We do not use your data to train AI models, sell to advertisers, or share with data brokers.

When you generate a quote, the information you enter is sent to Anthropic's Claude API. This includes your product description, pricing, prospect information, and any other context you provide. Anthropic processes this data to generate the quote content and returns the result to us. Anthropic's usage policies prohibit using API requests for training their AI models, but you should review Anthropic's privacy policy at [anthropic.com/privacy] for their full practices.

We store the generated quote content in your account. We do not share your quote content with other users or use it to train any AI models ourselves.

When you add a prospect to generate a quote for them, you give us their:

• Name
• Email address
• Company name

We use this information to:

• Generate a personalized quote
• Send the prospect a shareable link to view their quote (if you choose to send it via our platform)
• Track when the prospect views the quote
• Record their e-signature if they accept the quote

We do not independently contact prospects for marketing purposes. We do not sell prospect data. When you close your account, prospect data associated with your quotes is deleted within 30 days.

Note for prospects: If you received a quote generated through DealClose.co and have questions about how your information was used, the company that sent you the quote is the primary data controller for your information. You can also contact us at hello@dealClose.coand we'll direct your inquiry appropriately.

We share your information only in these limited circumstances:

Service providers. We share data with vendors who help us run the Service:

All service providers are contractually required to handle your data securely and only for the purposes we specify.

Legal requirements. We may disclose your information if required by law, court order, or government request.

Business transfers. If [Your Legal Entity Name] is acquired, merges with another company, or sells substantially all its assets, your information may be transferred as part of that transaction. We'll notify you before this happens and give you the option to delete your account.

We do not sell your data. Full stop.

We keep your data for as long as your account is active. Specifically:

• Account data: Retained until you close your account, then deleted within 30 days.
• Quote data: Retained while your account is active. Exported or deleted on request. Deleted within 30 days of account closure.
• Payment records: Retained for 7 years for legal and accounting compliance (this is required by law, not our preference).
• AI usage logs (internal): Retained for up to 12 months for billing and audit purposes.
• Email delivery logs: Retained for 90 days.

Depending on where you live, you may have the following rights regarding your personal data:

• Access: Request a copy of the personal data we hold about you.
• Correction: Request correction of inaccurate data.
• Deletion: Request deletion of your account and data.
• Data portability: Request an export of your data in a machine-readable format.
• Opt out of marketing: Unsubscribe from marketing emails at any time using the unsubscribe link in any email, or in your email preferences settings.
• Withdraw consent: If we're processing your data based on consent, you may withdraw that consent at any time.

GDPR (EU/UK users): We process data under the lawful bases described in Section 3. You may lodge a complaint with your local supervisory authority if you believe we've violated your rights.

CCPA (California residents): You have the right to know what personal information we collect, to request deletion, and to opt out of the sale of personal information. We do not sell personal information.

We use cookies and similar technologies to run the Service. Here's what we use:

We do not use third-party advertising cookies. We do not track you across other websites.

We take security seriously:

• All data is transmitted over HTTPS (TLS encryption).
• Your database is hosted on Supabase, which runs on AWS with encryption at rest.
• Passwords are hashed using industry-standard algorithms - we can't see your password.
• We use row-level security policies on our database so users can only access their own data.
• Payment processing is handled entirely by Stripe; we don't store card data.
• Access to production systems is restricted to authorized personnel only.

No system is perfectly secure. If you discover a security vulnerability in our platform, please email hello@dealClose.co and we'll respond promptly.

In the event of a data breach that affects your personal information, we'll notify you within 72 hours of becoming aware of it, as required by GDPR and applicable regulations.

The Service is not intended for anyone under 18 years old. We don't knowingly collect personal information from minors. If we discover we've collected data from someone under 18, we'll delete it promptly.

Our Service is hosted in the United States (via Supabase on AWS). If you're located in the EU, UK, or another jurisdiction with data transfer restrictions, be aware that your data is transferred to and processed in the United States. We rely on Standard Contractual Clauses (SCCs) and other approved mechanisms where required by GDPR.

We'll update this policy when our practices change or laws require it. When we make material changes, we'll email you at least 14 days before they take effect. The "Last updated" date at the top of this page will always reflect the most recent version.
